Terms and Conditions

1. Booking and Payment

• Advance Booking: To ensure the best possible experience, we recommend booking your tour at least 4 days in advance. While we do accept last-minute bookings when availability permits, booking ahead allows us to prepare and organize your trip more thoroughly.
• Booking Channels: Bookings can be made through the following channels:
  ✓ Reservation Form: Complete the reservation form available on our website.
  ✓ Email: Send your booking request to hagiangtoptravel@gmail.com.
  ✓ WhatsApp: Contact us at (+84) 945299229.
• Response Time: We strive to respond to all booking inquiries within 24 hours.
• To confirm your booking: A non-refundable deposit of 1,000,000 VND per person is required. This deposit can be conveniently paid via OnePay, which applies a transaction fee of 3%, bringing the total to 1,030,000 VND per person. The remaining balance is due upon arrival at our office in Ha Giang before the tour departure.

2. Cancellation and Refund Policy

Cancellation by Customer

• Refunds: To receive a refund of your deposit, cancellations must be made at least 4 days prior to the tour start time.
• No-Show Policy: No refunds will be issued for no-shows.
• Transferable Reservations: If you find a replacement, your reservation and any paid fees are transferable to the new participant.
• Unused Services: There will be no refunds or exchanges for accommodation, meals, transportation, or any other services included in the tour price that are not utilized by the participant.

Cancellation by Tour Operator

• In the unlikely event that we must cancel a tour, participants will receive a full refund of all payments made.

3. Rider Requirements

• Age and Licensing:
  ✓ Riders must be between 18 and 72 years old.
  ✓ Riders should have at least 2,000 km of riding experience within the past two years on a similar motorcycle.
• Self-Ride Requests:
  ✓ If you wish to ride a motorcycle yourself, please inform us during the booking process. A valid International Driving Permit under the 1968 Vienna Convention and a national driving license recognized in Vietnam are required. Both documents must be presented before the tour begins.

4. Insurance

• Basic travel insurance is included in the tour package. However, we strongly recommend that all participants obtain comprehensive travel and health insurance covering motorcycle activities before joining the tour.

5. Liability and Responsibilities

• Participants must comply with all local traffic laws and follow the instructions provided by the tour leader.
• Consumption of alcohol or drugs before or during riding is strictly prohibited. Violations may result in immediate removal from the tour without refund.
• We are not responsible for any loss, delay, theft, or damage to personal belongings during the tour.

6. Modifications and Itinerary Changes

• We reserve the right to modify the tour itinerary due to unforeseen circumstances such as weather conditions, road closures, or other safety concerns. Any significant changes will be communicated promptly to participants.

7. Complaint and Resolution Policy

• Immediate Notification: If you have any complaints or concerns during your tour, please inform us immediately so that we can resolve the issue as quickly and effectively as possible.
• Timely Response: Our team is committed to providing prompt and satisfactory resolutions. We encourage direct communication during the tour to ensure any issues are handled in real time.

8. Photo Release

• By joining the tour, you consent to us taking photos and videos of you for promotional materials such as brochures, social media, and advertisements. If you prefer not to have your photos used, please notify us in advance.

9. Children’s Policy

• Children aged 5 to 11 years: 80% of the adult fare.
• Children under 4 years old: Free of charge. Please note that any additional expenses for children during the tour, such as meals or activities, will be paid by the parents.

10. Behaviour and Conduct

• Participant Conduct: Participants are expected to behave respectfully and responsibly toward fellow travelers, guides, and local communities. Any disruptive behaviour, including excessive intoxication, dangerous driving, or harassment, may result in immediate removal from the tour at the participant’s own expense.
• Environmental Responsibility: Participants must respect the environment, wildlife, and local customs. Any harmful actions such as littering, damaging property, or disrespecting local traditions may result in immediate removal from the tour.

11. Governing Law

• These Terms & Conditions are governed by the laws of Vietnam. Any disputes arising from the tour shall be subject to the exclusive jurisdiction of Vietnamese courts.

• By booking a tour with us, participants acknowledge that they have read, understood, and agreed to these Terms & Conditions.
